We are a Data Controller when we deal with our own clients, potential client, or website user data. Our website is not intended, and we do not knowingly collect data relating to children.

How do we process your personal data?

So that we can provide a service to you need to process some of your personal data.  We make sure that we only collect what we need and have outlined below the various ways in which we process your personal data:

When you visit our website: We use cookies on our website which collect various types of personal data. This will include details about your visits to our website; page views, downloads, navigation, and exit; IP address; geographical location; browser type and version; operating system; referral source; length of your visit.

Our website may contain links to other external websites.  We aren’t responsible for the practices, policies or content of such websites and suggest that you check their privacy policies to ensure that you are happy to continue browsing.

When you become one of our business customers: We will process your name and contact details, as we have a legitimate interest to do so.  This is so that we can fulfil our contract to your organisation and answer any enquires you may have.  If you have opened a Trade Account, we ensure your login details are kept securely on our internal IT systems.

When you become one of our consumer customers: We will process your name and contact details so that we can fulfil our contract to you and answer any enquires you may have.  We will also process financial details about yourself to enable payment for our service. 

We keep records of your purchases so that we can manage and plan our business effectively.  Keeping records such as this is in our legitimate interest as a business, and we make sure that none of this affects your individual rights.

We may send you a reminder email if you leave a product in the website cart.  We do this under the lawful basis legitimate interest.

When you visit one of our Stores: We will process images of you and your vehicle on our CCTV system because we have a legitimate interest in preventing or detecting unlawful acts and may be required to share this data with the police or other authorities.  CCTV data is stored by us and deleted after 30 days. 

If you were to have an accident on our premises, we would fill in our Accident Book with your name, contact details and details about the accident to comply with our legal obligation.

When you pay for goods in our stores, we don’t collect any further information from you unless you are arranging a delivery or a special / collect later order where we might need to contact you to fulfil your requirements.

If you arrange for a delivery of goods to your address, whether this is your home address or business, we will arrange this via one of our own drivers or an external courier. 

When you join our marketing list: We will collect your name and contact details so that we can send you appropriate marketing communications.  If you are a prospective consumer customer of ours, this will be with your opt in consent.  If you are already a consumer customer of ours, under the legal basis of legitimate interest, we will give you the opportunity to Opt Out of receiving marketing messages. For our business customers we use our legitimate interest to send you marketing messages unless you have opted out.  You are welcome to unsubscribe at any time.

When you send us an enquiry: You may have sent us an enquiry via the contact page on our website.  We will collect your name, contact details & site address as it’s in our legitimate interest to do so that we can enter into correspondence with you and answer your enquiry.

How long do we keep your personal data?

If you are on our marketing list: If you remain part of our active marketing list, we will keep your personal data until you opt out.  At that point we will use a suppression list to ensure that we don’t contact you in error.

If you are a client of ours: we will keep your personal data for as long as we have a contract with you and then for a further 7 years in accordance with HMRC guidelines.

How do we use your personal data to communicate with you?

Non-Marketing Communications include: service messages, quotes, delivery notes, invoices, answers to enquiries and other communications to ensure that we deliver the services you have engaged us for.

Marketing Communications include: Emails, SMS or postal regarding other services we offer as well as content marketing we hope you will find useful.  You are welcome to unsubscribe from marketing messages at any time.

If you have consented to marketing cookies such as Facebook Pixels you may be served Facebook Ads regarding our services.  You can change your cookies consent at any time by visiting our Cookie Consent Management Platform.  You may also wish to change your Facebook settings if you don’t want to see targeted advertising.

Social Media: We use Facebook, Twitter, Instagram, Linkedin and YouTube. We sometimes use paid advertising on these platforms, but we will only use custom audiences with your consent.  You can find a copy of this Privacy Notice on our Facebook page in the ‘About’ section.

Social Plugins: We use social plugins on our product pages which allow you to share products with your friends and families.  These buttons are deactivated by default and only activated once you click on them.  When you click on these buttons your personal data will be transferred to the plugin provider.  This will include IP addresses which are then used to serve you relevant ads.

Who has access to your personal data?

We share your personal data with various organisations so we can fulfil our contract with you to help us run our business and to fulfil our legal obligations.

These include Marketing Agencies, Accountants, Webhosts, Couriers.  We also use Microsoft, Send-in-Blue and Epicor Bis Track to ensure that we run our business efficiently.

We use Opayo as a third-party payment processor to process credit card payments.  You can find more about how Opayo processes your personal data on their privacy notice here.  We do not store your credit card details.

We ensure that our systems are robust, and we will only share your data with organisations who have appropriate safeguarding mechanisms in place such as Standard Contractual Clauses.  We have Data Processing Agreements with our Data Processors and never sell personal data to third parties.

In the event that Harlow Bros Ltd is sold or transfers its assets to another party, your personal data could be one of the transferred assets.  If your personal data is transferred it will remain subject to this Privacy Notice.  Your personal data will be passed onto a successor in the event of a liquidation or administration.

What are your rights?

You have several rights which you can access free of charge.  In certain circumstances we reserve the right to charge a reasonable fee if your requests are unfounded or excessive.

You have the right:

  • To be informed about the collection and use of your personal data.
  • To access your personal data via a Data Subject Access Request (DSAR)
  • To have inaccurate personal data corrected or completed
  • To have your personal data erased
  • To restrict our processing of your personal data
  • To request the transfer of any personal data you have provided to us
  • To object at any time to direct marketing
  • To object to automated decision making and profiling

How can you submit a query or a complaint?
